Built around the title desk.

Every feature exists because a tag-and-title clerk needs it on a busy Friday — or because a state auditor will ask for it on a bad Monday.

Getting deals in

DMS deal pull

Type the deal number; the permit form populates — customer, full address, sale date, VIN, unit, salesperson. Built for Lightspeed and TalonES workflows, with the F&I-button deep link on the roadmap.

CSV import with auto-mapping

Export your deal report, drop it in. TagTrail recognizes the column names your DMS actually uses ("Deal No," "Buyer Name," "VIN/Serial"), normalizes dates, guesses unit types, and dedupes on re-import.

Pending deal queue

Imported deals wait in a queue. One click pre-fills the entire permit — the clerk adds the tag number and issues. Nothing gets re-typed between the DMS and the log.

Issuing permits that pass audit

Live validation

Real ISO VIN check-digit verification catches transposed characters as you type. Duplicate tag detection — including voided numbers, which must never be reissued. Per-unit and per-customer limits from your state's rules. Address and ZIP format checks. Hard errors can't be logged.

One-click misprint voids

Printer jammed? Wrong deal on the tag? Void it in seconds. If the tag was never logged, TagTrail creates a voided record anyway — so your tag sequence has no gaps, which is the first thing auditors look for.

Extensions done by the rules

In Utah: extension history on every record and a live gauge of your 90-day extension rate against MVED's 2% refusal line. In Georgia, where dealers can't extend: the flow records the customer's County Tag Office extension instead. The software knows the difference.

Titles, receipts, and proof

Title tracking

Seven statuses from trade-in-pending to plate-issued. The audit check flags permits expiring while the title hasn't reached the DMV, and deals blowing the state's title deadline — 45 days in Utah, 30 in Georgia — before the state notices.

Receipt reconciliation

Photograph or scan the DMV summary receipt. TagTrail reads it, finds plate numbers that exist in your log, checks the customer name matches, and attaches the scan to the permit record. The annual audit, done as you go.

Audit check & readiness score

One button scans the whole log the way a field auditor would — duplicates, invalid VINs, missing addresses, unverified insurance, overdue titles — and scores your readiness. Fix findings before they're findings.

One clean export

Every field — tag, plate, deal, customer, address, VIN, dates, title status, extensions, receipt verification, void reasons — in one CSV or print-ready log. Hand it over and get back to selling.

Built to run a dealer group

Multi-store

Every rooftop gets its own permit log, import queue, and rule profile. Switch stores from the header. Records are never deleted — voids and edits stay on the log with reasons and dates, exactly what an auditor expects.

State rules packs

Type a state code and the whole rule profile loads — permit validity, per-unit limits, extension rules, title deadlines — with the authority and citations shown. Utah and Georgia today; expansion states are one pack away.

Full edit trail

Fix a missing address in seconds — with the same validation as issuance, so a correction can't create a new finding — and every edit is date-stamped on the record.
